Becoming a vendor to omnitrax
In order for OmniTRAX to best serve our customers and the communities in which we operate, we demand that our suppliers and contractors are the best in their field.
While we are generally well served by our existing vendors, we are always looking to consider new vendors that excel in service, pricing, and safety. If you believe your company has what it takes to work with us, please read on!
Becoming a vendor is a process:
1. Ensure your business meets minimum requirements
Our Vendors must:
- Be properly insured, at minimum to include CGL, Automotive, Umbrella, and Workers Compensation policies. (see link below)
- Contractors working on railroad track or railroad equipment must meet federal FRA safety regulations.
- Offer Net 45 credit terms
- Adhere to our Vendor Code of Conduct
2. Complete our Prospective Vendor Information Form

Should you have an informational document describing your company and your capabilities, please email it to Sourcing, and mention in the email that you have submitted the OmniTRAX New Vendor Solicitation form.
Tips on your company getting consideration:
- Be specifc on which of our locations you can serve
- Include details of your safety record
- Provide specifics regarding goods and services you offer, including specifications when appropriate
- Provide pricing for at least a core subset of your goods and services
- Include freight and/or mobilization with your pricing
- Budgetary estimates on pricing, contingent on order quantities is acceptable
- Provide references, ideally other railroad customers
Emails from companies that have not completed this form will not be reviewed. Attachments must be in PDF format only. Due to security concerns, any other type of file format will not be opened.
3. Be Patient!
Your information will be reviewed and should we have a business need or interest in you goods or services, we will reach out to you. There is no estimate for when or if we will reach out to you. Again, we only reach out to new suppliers when we have a pending need, or are seeking better service, or pricing in a particular segment.
Due to volume and variety of solutions we receive, we are not able to reply to inquiries or solicitations from prospective vendors.
4. Bid on Projects, RFPs, and RFQs
Another great way to become a vendor with OmniTRAX is to successfully bid on the variety of Request-for-Proposals (RFPs) and Request-for-Quotes (RFQs) that we post regularly here on our Suppliers page.
While most of the RFPs are railroad infrastructure projects at our railroads, we will also post RFPs and RFQs for a variety of goods and services that we utilize in our day-to-day operations.
Competitive respondents to RFPs/RFQs that are selected for award get on the fast-track to being an OmniTRAX vendor!
5. Vendor Onboarding
We will only onboard vendors that have been awarded an order or contract.
Once there is a pending order or contract, Vendor Onboarding begins. This process consists of:
- Collecting business details, tax forms (W9), and payment information
- Collecting documentation about Vendor’s insurance coverage (COIs)
- Collecting documentation on Vendor’s compliance with FRA Safety Training regulations and FRA Drug & Alcohol Testing regulations.
- Agreeing to, and signing, our Terms & Conditions, Master Services Agreement, or Supplier Agreement
This process can take between 2-4 weeks, depending on the complexity of the agreement.
