POSITION SUMMARY:

This position will be responsible for handling a wide range of administrative, project focused, and executive support related tasks for VP, SVP, and other Executives.  Ideal candidate will be a team-player that efficiently and effectively interacts with associates at all levels of an organization, both internally and externally, in a dynamic, demanding and fast-paced work environment that is driven and results oriented.  Must be able to work independently or as a team member and remain flexible when assigned duties evolve.

 

ESSENTIAL JOB FUNCTIONS:

  • Manage calendars, schedule meetings with associates within and outside the organization, coordinate travel arrangements, coordinate lunches and conferences, compile expense reports, and handling mail
  • Conduct research on people and companies to create succinct biographies and corporate profiles
  • Compile data into concise reports for various internal audiences as needed
  • Compose and/or prepare a variety of correspondence, reports, spreadsheets, presentations, and other documents, ensuring proper format, grammar, spelling, and punctuation
  • Identifies and independently resolves problems in a timely manner
  • Resourceful in gathering information and skillful in discerning what is relevant and important to analyze and present in well-formatted and meaningful presentations
  • Takes notes during meetings and prepares reports
  • Project management on a case-by-case basis
  • Assist with Real Estate increase letters
  • Other duties and projects as assigned

REQUIRED QUALIFICATIONS, KNOWLEDGE, SKILLS, AND ABILITIES:

  • 5+ years of current Executive and/or C-level Administrative Support experience
  • High School diploma or GED
  • Team Player
  • Polished interpersonal and social skills
  • Ability to take directions and constructive criticism in stride
  • Upbeat positive approach to work
  • Highly energized and proactive; always operating with a strong sense of urgency, without panic
  • Professional communication skills, both written and verbal
  • Demonstrated ability to track, organize and follow up on all correspondence (email, letters, and voicemails)
  • Ability to remember names and deals
  • Administratively very strong
  • An ambitious, self-starter, who pays attention to detail
  • Excellent follow up and organizational skills
  • Maintain confidentiality with sensitive materials and communications
  • Strong working knowledge of the Microsoft Office Suite (Word, Excel, Outlook and PowerPoint)

PREFERRED QUALIFICATIONS, KNOWLEDGE, SKILLS, AND ABILITIES:

  • Bachelor’s degree preferred
